At the beginning of every
semester, the committee meets to develop a program for the audit of selected
administrative departments or functional activities.

The committee provides
advance notice of the audit to the department head and other responsible
administrators.
·
Unscheduled or surprise
audits regarding particular issues may be also conducted in certain
circumstances.
·
A meeting is arranged with
the audited staff where specific audit objectives, plans, and procedures are
shared.
·
Internal audit conducted by
the committee member/s

Audit fieldwork consists of
interviews with responsible employees, observation of processes, review of
documentation, and other analytical procedures considered necessary in the
circumstances.

Audit observations and
tentative findings and recommendations are normally discussed with responsible
staff of the audited department during the audit.

A closing meeting with the
audited staff is held in which preliminary draft of the audit report is
reviewed: any differences of facts or interpretations discussed and any
appropriate corrections or revision is made at this step.

Within two weeks, the
committee prepares a report of findings, conclusions, and recommendations upon
completion of the audit

The Chair of the committee
shall send the report to the Chairman, Provost, Dean of QA, and HR.
·
The report should include a
concise statement of actions undertaken or planned in response to the
recommendations, as well as a timetable of implementations.

The committee should timely
communicate to relevant officers of any serious deficiencies noted in any audit
engagement
·
The committee should review
the implementation of recommendations or of other actions taken as a result of
the audit.
